Purchase Event organization services International camp "Pass Forward... The European Value"

Purchase object: Organization of the event International camp "Pass Forward... The European Value" within the Europe Direct project. The event will take place in Cluj-Napoca between November 18-21, 2019.

Accommodation location: Cluj-Napoca, ultra-central, own parking, near the means of transport. ADR Nord-Vest can visit the locations before awarding the contract and can refuse those that do not present impeccable conditions from the point of view of aesthetics and hygiene

Period: November 18-21, 2019

The final number of participants will be announced 1 day before the event.

Purchase object description (technical specifications):

  1. Accommodation
  • The location should be in Cluj-Napoca, central and close to public transport
  • The available rooms must be single and double twin (4 single rooms and 1 twin room)
  • The conditions of aesthetics, hygiene and comfort must be impeccable
  • At the location of the accommodation, breakfast and dinner should be included

a. Breakfast served on November 19, 20, 21

b. Dinner served on November 18, 19, 20

  • The number of people accommodated will be 6 participants

2. Catering services for an estimated number of 15 people at lunch

a. Lunch for November 19 and 20.

  1. Snack: Chicken noodle soup/ Pea cream soup/ Eggplant bruschetta
  2. Hot dishes: Chicken thighs with onions and mashed potatoes/ Grilled pork neck with golden potatoes/ Moroccan couscous with turkey breast/ Spaghetti Pomodoro/ Greek salad
  3. Desert: Cake with bananas and dates, glazed with honey and nuts/ Strudel with honey and vanilla sauce/ Panna cotta with chocolate sauce
  4. The water: 1 bottle of still mineral water 0.33 l / person + 1 bottle of carbonated mineral water at 0.33 l / person;
  5. Natural juice and carbonated water
  6. Coffee, milk, cups, white/brown sugar;

3. Transportation services for participants/guests/organizers

  • Minibus with around 20 seats
  • The means of transport must have a driver included
  • The availability of the minibus should be from November 18 at 8:00 p.m. until November 21 at 10:00 a.m.

The final number of participants for the lunch will be confirmed one day before the event, it may be higher or lower than the initially estimated number.

The financial offer will contain the costs grouped as follows:

– Total cost of accommodation with breakfast and dinner, cost / person

– Total transport cost

– Cost for each lunch/group, total cost for each lunch/person

– Total cost, total cost/person

Award criteria: the lowest price / total offer, subject to the full fulfillment of the requirements and technical specifications. 

Estimated value: maximum 9500 lei without VAT
